Vox Privacy Policy

Vox is developed and published by Paleo Trade Inc. This policy explains how Vox handles information when you use the macOS application.

Information We Collect

This Privacy Policy explains how Paleo Trade Inc. ("Paleo," "we," or "us") handles information in connection with the Vox macOS app. It distinguishes information processed locally on your Mac from information that Paleo or other parties may receive.

Visits to the Vox product page and other Paleo website pages are also subject to Paleo's website privacy policy. The website's practices are separate from the app's local dictation features.

Paleo Trade Inc. 15607 111th Ave Jamaica, NY 11433 United States

For questions about this policy, product support, or privacy requests, contact support@paleo.technology.

2. Audio and text processing on your Mac

Vox does not require a Paleo account. Vox processes microphone audio, dictation text, dictionary corrections, and AI instructions locally. The app does not upload this content to Paleo or a cloud transcription or AI service. We do not use your dictations to train AI models.

Microphone audio and speech recognition

Vox accesses your microphone when you start a recording, including when you choose to dictate an editing instruction. It uses Apple's on-device speech recognition to turn audio into text. Audio is processed in memory, and Vox does not save raw microphone recordings as audio files. Capture stops when recording ends or is cancelled, and audio buffers are released when they are no longer needed.

macOS may need to download speech assets for your selected language from Apple. Downloading those assets requires a network connection; it does not send your recording to a cloud transcription service.

Optional AI post-processing and editing

AI post-processing is optional and is initially off. When enabled, it processes the completed transcript and the applicable instructions on your Mac:

  • Standard AI uses Apple's on-device system language model through the Foundation Models framework.
  • Custom AI uses a downloaded Qwen model running locally through MLX. The model files are delivered through Apple's hosted asset-pack service. They must be downloaded before Custom AI can run.

Custom AI can also revise a completed dictation using an instruction you type or dictate. The draft, instruction, and earlier revisions from the current editing session are processed locally. Editing instructions and the temporary conversation context are held in memory for that session. Confirming an edit saves the revised dictation in local history.

Neither AI mode uploads your transcript or instructions for inference. The model providers and the libraries used to run the downloaded model do not receive your dictation content through Vox. Downloading or updating model files is separate from processing your words. You can turn post-processing off and remove the Custom AI download in Vox.

3. Local storage and retention

Vox stores the following information locally on your Mac:

  • Dictation history: Completed text, original speech text, a processed version where applicable, saved edits, creation time, language, a record identifier, and delivery status or error information.
  • Personal dictionary: The words, phrases, and replacement text you add. Dictionary rules correct new dictations locally; they do not train the speech or AI models.
  • Preferences and custom prompts: Your language, shortcut, clipboard, insertion, display, onboarding, and AI choices, together with saved custom post-processing prompts.
  • Daily usage: Local dates, word counts, and dictation identifiers used to apply the free daily allowance. Deleting history does not reset this separate usage record.
  • Insertion setup: Local Service shortcut configuration and recovery information needed for setup and undo, where applicable.
  • Downloaded model files: The Custom AI model and related files in storage managed by macOS for Vox and its downloader extension.

Cancelled and empty recordings are not saved as completed dictations. Recording directly into an editing instruction does not create a separate dictation history record. If a history save fails, Vox may keep the result in memory during the current app session so you can retry saving it.

Vox does not provide cloud storage or synchronization of your history, dictionary, or prompts. Local records remain until you delete them or remove the relevant app data. You can delete individual dictations or clear history in Vox. Removing the app alone may leave its stored data on your Mac. Your own backups, device management, or other services may keep separate copies according to their settings.

Deleting history does not delete copies already inserted into another app, stored on the clipboard, or included in a backup. Removing Custom AI does not delete your saved dictations or prompts. macOS manages the retention of system speech assets and diagnostic logs.

4. Permissions, automatic insertion, and the clipboard

Vox requests Microphone permission for recording. Input Monitoring is optional and allows Escape to cancel recording while another app is focused. Recording shortcuts and manual Copy do not require Input Monitoring. Vox recognizes its configured recording controls and does not maintain a log of everything you type.

Optional automatic insertion uses a macOS Service and posts its keyboard shortcut. macOS controls permission to post events through its Accessibility settings. Vox identifies the frontmost application when the finished text is ready and offers the text through the Service. The current app does not use Accessibility to read the contents of a focused text field or document. Where setup requires assigning Vox's Service shortcut, Vox requests your consent before changing its assignment.

Automatic insertion and copying completed dictations to the clipboard are separate choices. Copying completed dictations is initially on. When enabled, a completed dictation replaces the contents of the general macOS clipboard and remains available until another action changes the clipboard. With this option off, automatic Service insertion leaves the general clipboard untouched. An explicit Copy action puts the selected text on the clipboard regardless of that setting. Vox does not keep a history of the clipboard's previous contents.

Other apps, clipboard managers, and macOS features such as Universal Clipboard may access or transfer text placed on the clipboard, depending on your settings. An app or service that receives inserted or pasted text handles that text under its own privacy practices.

5. Network connections, purchases, and diagnostics

Vox's local dictation and AI processing do not require a Paleo server. Network access may be needed for Apple-managed speech or AI model downloads, app installation and updates, and App Store purchases or restoration.

App Store purchases

Apple processes Vox Pro subscriptions and payments through the App Store. Vox uses StoreKit to load product information, verify subscription access on your Mac, complete purchases, and restore purchases. The app does not send transaction records to a Paleo purchase-validation server. Paleo does not receive your payment-card details through Vox.

Apple may provide Paleo with sales, subscription, receipt, and refund reports, as described in Apple's App Store privacy information. If you contact us about a purchase, we may also receive the purchase information you choose to provide. Apple handles its own account, payment, download, and service information under its privacy policy.

Diagnostics and analytics

Vox writes technical diagnostic events to the macOS logging system, such as recording states, processing times, permission status, audio format information, record identifiers, destination process identifiers, and delivery outcomes. These logs are not designed to record microphone audio, dictated words, AI instructions, clipboard text, or another app's document contents. Local history separately includes dictation text and delivery metadata as described above.

Vox does not include an advertising, behavioral analytics, or third-party crash-reporting service and does not automatically upload its own logs to Paleo. Apple may collect and share diagnostic or app information according to your Apple and macOS settings. If you send us a diagnostic report for support, we receive the information in that report.

6. Information Paleo receives and how it is used

If you contact us, we receive your email address, any name you provide, your message, attachments, and other information you choose to send. We use this information to answer your request, troubleshoot issues, and maintain necessary support records. Include dictation text or other sensitive material only if you choose to share it for that purpose.

We may use purchase information made available by Apple or supplied by you for purchase support, accounting, and legal obligations. Website connection information and any website forms are covered by Paleo's website privacy policy.

We do not sell your personal information, use your dictation content for advertising, or track your activity across other companies' apps and websites.

Where the EU or UK GDPR applies, we rely on performance of a contract for support necessary to provide Vox, legitimate interests for responding to other inquiries and maintaining proportionate support or security records, and legal obligations for records or disclosures required by law. Where processing requires consent, you may withdraw that consent without affecting the lawfulness of earlier processing.

7. Sharing, security, and international handling

We may use providers to deliver email, support, and website services. They handle information necessary to provide those services under appropriate arrangements. We may disclose information we hold when required by law or when necessary to protect legal rights. We do not provide those providers with remote access to your local Vox history through a Paleo server.

Vox relies on macOS sandbox, user-account, and device protections for its local data. Protect access to your Mac and consider how backups and clipboard tools handle sensitive text. We use reasonable measures to protect information received through support channels, but no storage or transmission method is completely secure.

Paleo is based in the United States. Information you send to us may be processed there or in other countries where our service providers operate. We use a lawful transfer mechanism where applicable law requires one. Local Vox content remains on your Mac unless a separate action or service copies, backs up, transfers, or sends it.

8. Retention of information Paleo holds

We retain support correspondence and information received about purchases only for as long as needed to address the request, maintain necessary business records, protect legal rights, and meet applicable legal obligations. Apple's retention of information it holds is governed by Apple's policies. Local app retention is described in Section 3.

9. Your choices and rights

You can stop recording, revoke macOS permissions, disable automatic insertion or clipboard copying, turn off AI post-processing, remove the Custom AI download, edit dictionary entries and prompts, and delete saved dictations.

Because Paleo does not receive your local dictation history, we cannot remotely view, export, correct, or delete it. Manage this information through Vox and your Mac.

For information Paleo does hold, you can contact support@paleo.technology to request access, correction, or deletion. Depending on applicable law, you may also have rights to portability, restriction of processing, objection, or withdrawal of consent. Some requests may be limited by legal obligations or other lawful grounds. If you are in the European Economic Area or the United Kingdom, you may lodge a complaint with your local data protection authority.

10. Changes to this policy

We may update this policy as Vox or our practices change. We will identify the revised policy with a new effective date and provide additional notice or obtain consent where required by law.
